Acceptable Use Policy

1. Scope

This policy applies to anyone who accesses or uses the Zitadescribe website, application, APIs and related services (the “Service”), including paying customers, their authorized users, and any third party invited to collaborate.

This policy is in addition to our Terms of Service and Privacy Policy. Where there is a conflict, the Terms of Service prevail.

2. Core Principles

• Be lawful. Do not use the Service for anything that is illegal under Belgian, EU, or applicable local law.
• Be honest. Do not misrepresent your identity, your organization, or the origin of the content you upload.
• Respect others. Do not use the Service to harass, harm, deceive, or violate the rights of any person.
• Protect the platform. Do not interfere with the integrity, performance, or security of the Service or other users.

3. Prohibited Use

You may not use the Service to:

Illegal or harmful activity

• Violate any law, regulation, or third-party right (including intellectual property, privacy, publicity, data protection, or export control laws).
• Generate, store, or distribute child sexual abuse material (CSAM), non-consensual intimate imagery, or content that exploits minors in any way.
• Promote terrorism, organized criminal activity, or violent extremism.
• Engage in fraud, identity theft, money laundering, or sanctions evasion.

Abuse of people

• Harass, threaten, defame, dox, stalk or intimidate any individual or group.
• Discriminate against or incite hatred or violence based on protected characteristics (race, ethnicity, national origin, religion, gender, sexual orientation, disability, age, etc.).
• Process special-category personal data (health, biometric, political, etc.) without an appropriate legal basis and safeguards.

Abuse of the Service

• Reverse engineer, decompile, or attempt to extract the source code or models behind the Service, except where allowed by law.
• Probe, scan, or test the vulnerability of the Service without written authorization.
• Circumvent rate limits, billing, authentication, access controls, or any technical restriction.
• Use the Service to build, train or fine-tune a competing product or AI model.
• Resell, sublicense, or repackage the Service without our written consent.
• Send spam, unsolicited bulk messages, or any form of automated abusive traffic.
• Distribute malware, viruses, ransomware, worms, or other malicious code through the Service.

4. Content Standards

You are responsible for the photos, audio, text and other content you upload to the Service (“Customer Content”). By uploading Customer Content you confirm that:

• You have the right to upload it and to have it processed.
• You have all necessary consents from any individuals visible or audible in the content (e.g. tenants, employees, third parties).
• The content does not infringe intellectual property, privacy, or confidentiality obligations.
• The content is not unlawful, deceptive, or designed to mislead.

5. AI & Generated Output

Zitadescribe uses AI to generate descriptions and reports based on your inputs. AI output may be incomplete, inaccurate or subjective. You agree that:

• You will review AI-generated output before relying on it for any legal, contractual, financial or safety-critical purpose.
• You remain responsible for the accuracy of any document you sign, send, or publish based on AI output.
• You will not use the Service to generate content that impersonates a real person, forges signatures, or fabricates official documents.
• You will not feed prompts or inputs designed to bypass our safety controls or to extract another user's data.

6. Security & Integrity

• Keep your account credentials confidential. You are responsible for all activity under your account.
• Notify us immediately at contact@zitadescribe.com if you suspect unauthorized access, a vulnerability, or a data incident.
• Do not interfere with backups, logging, or monitoring used to secure the Service.
• Do not transmit content that contains executable payloads designed to compromise the Service or its users.

7. Customer Data

When Zitadescribe processes personal data on your behalf (e.g. when you upload personal data of your customers, employees or other data subjects), Atoipa bv acts as a Data Processor and you act as the Data Controller. In that case:

• You are responsible for having a valid legal basis under GDPR for uploading and processing that personal data.
• You are responsible for informing data subjects, where required.
• A Data Processing Agreement (DPA) under GDPR Article 28 is available on request at contact@zitadescribe.com.

8. Reporting Abuse

If you believe content or behavior on the Service violates this policy, please report it. Include the URL, identifier, or as much detail as possible so we can investigate.

9. Enforcement

We may take any action we consider proportionate when we believe this policy has been breached, including:

• Asking you to stop the offending behavior.
• Removing or disabling access to specific content.
• Suspending or terminating accounts and active sessions.
• Cooperating with law enforcement and regulators where legally required.

Where it is safe and lawful to do so, we will try to give you notice and a chance to remedy the issue before taking severe action — but we are not required to.

10. Changes to This Policy

We may update this Acceptable Use Policy from time to time. The latest version is always available on this page, and the “Last updated” date at the top reflects the most recent revision. Continued use of the Service after a change constitutes acceptance of the updated policy.
